Manuscript General Regulations

Rights of the Author and the University:

Your graduate unit has the right to require that you provide them with a copy of your thesis or dissertation, and that certain original records and materials be retained as the property of the University. Publication rights to the thesis or dissertation are reserved to you as the author.

Two unbound copies of the final version of your thesis or dissertation must be submitted to the Office of Graduate Studies (OGS) by:

  • November 15 for Fall (Check with OGS for the date of graduation)
  • April 15 for Spring (Check with OGS for the date of graduation)
  • July 15 for Summer (Check with OGS for date of graduation)

With the approval of a student’s thesis or dissertation committee and the Dean of Graduate Studies, a manuscript may be written in a language other than English. However, the manuscript must be accompanied by an abstract in English approved by the committee.

Your manuscripts must be submitted in a sturdy, 8 ½ "x 11" box. Both copies may be placed in the same box, provided that they are separated by a colored sheet of paper.

The following forms, which may be obtained at the OGS, must be submitted before your manuscript will be accepted by the Dean of Graduate Studies. Many of the forms are now available on the Web. For further information, connect to the World-Wide-Web address http://www.unm.edu/~grad/forms/forms.html

  • A Report on Thesis or Dissertation ("gray sheet"), completed by each member of your committee: These are often sent separately after the defense by the graduate unit; if given to the student for submission with the manuscript, they should be sealed in an envelope by the graduate unit and marked "Confidential."

  • A "Survey of Earned Doctorate" (doctoral students only - booklet available from OGS - the Survey is placed inside the manuscript box)

  • A Doctoral Dissertation Agreement Form-University Microfilms International (UMI) booklet entitled "Publishing your Dissertation" (see below).:  This is required for dissertation students only, and is optional for thesis students. (Booklet available from OGS - See section on "Microfilming the Manuscript".) The Agreement Form is placed inside the manuscript box.

You are responsible for generating two sets of red-border pages -- each set including a Signature Approval page, a Title page, and an Abstract page. You may use the template for the front matter pages, on our Templates Page, to fill out the template and then feed the pre-printed red border pages through your printer.   If you have a color printer, you can fill out the template and simply print out your red border sheets. One set of these pages must be included with each of the two required copies of your manuscript. For any additional copies of the manuscript you plan to have bound, you must submit additional red-border pages with the manuscript for final signatures from the Dean of the Office of Graduate Studies.

If you follow the procedure using a black/white printer ONLY OPTION, you can obtain the pre-printed red-border template pages from the template website or from an available source (i.e. department or peer).
