The competitive faculty search process includes the Request to Initiate a Faculty Hire, the Request to Interview and the Request to Hire - Applicant to Hire Analysis.

Step 1: The Request to Initiate a Faculty Hire
To begin a competitive faculty search, complete:
- The “Request to Initiate Faculty Hiring – Form 1” as required by OEO (http://www.unm.edu/~oeounm/)
- In addition to this, the College also requires:
(a) A position description and justification
(b) A clear statement of minimum and of preferred qualifications (these must match the ad attached)
Submit materials listed above to the College for approval.
Once the College has reviewed and approved the above, departments will be notified to pick up the paperwork and take it to Faculty Contracts.
Step 2: The Request to Interview
Although OEO approval to conduct interviews is no longer necessary, approval
by the College is still required before any interviews are arranged. Prior to arranging interviews, departments must submit to the College:
- Arts & Science Request to Interview form [ A&S Request to Interview Form]
- Position Analysis Memo - to include the process description, sample screening, description of Affirmative Action considerations especially with respect to the underutilized category(s) and the qualifications of all semifinalists/interviewees.
- A completed Form 2: Applicant Pool Listing http://www.unm.edu/~oeounm/_hiring/hiring_forms_samples.htm
- Reason codes for non-selection of bona fide candidates http://www.unm.edu/~oeounm/_hiring/hiring_forms_samples.htm
- Completed Applicant Tracking Sheet http://www.unm.edu/~oeounm/_hiring/hiring_forms_samples.htm
- Copies of finalists CVs
Once the College has reviewed and approved the request to interview, departments will be notified and can begin arranging interviews.
Note: All tenure-track faculty search interview candidates are required to meet with the College of Arts & Sciences Associate Dean for Faculty. Contact the College to schedule meeting times.
Step 3: Request to Hire - Applicant to Hire Analysis
In addition to the request to hire requirements for OEO, the College requires departments to follow the College template guidelines for offer letters. Please contact Sr. Associate Dean Felipe Gonzales for the most current faculty offer letter templates. Departments are encouraged to email a sample offer letter to Associate Dean Gonzales for pre-approval before a hardcopy of the Request to Hire Packet is submitted to the College. This will help to expedite the approval process in our office.
Once the College has reviewed and approved the request to hire, departments will be notified to pick up the paperwork and take it to Faculty Contracts/OEO for approval.
After OEO has approved the hire, the department must submit the faculty contract and signed offer letter to the College.
Additional Information:
- Paperwork for each step must be submitted to the College for approval.
- A Position Maintenance form is required for faculty hires.
- If the salary includes a SAC, the SAC needs to be added to the Position Maintenance form.
- If a spousal hire is an approved part of an offer, there should be reference to this in your tentative offer letter. (See University Policy on Spousal Hires)
- The Department Chair is responsible for maintaining CONFIDENTIALITY in the search process of the records of applicants. OEO procedures state “Search committee members and those faculty members involved in determining the candidates to be brought for interview, but who are not part of the search committee, must maintain the confidentiality of all applicant information” as provided in the Board of Regents’ Policy #6.7, “Confidentiality of Employment Applications”.
- OEO has determined that the Departments are now responsible for keeping the official and complete search file. Such files are to be retained for 5 years from the date of closure of the search. OEO will periodically conduct post-audits of search files to ensure that proper processes are being followed.
