Officer Duties

President
The President is tasked with managing and overseeing the entire chapter. The President must be willing to learn about all aspects of the chapter, must be able to attend the majority of chapter events, and must be able to dedicate 5-8 hours per week to chapter business. Duties include:

  • Guiding chapter officers,  members, and candidates
  • Facilitate the technical meetings
  • This officer should be comfortable approaching candidates and members at technical meetings and in the accounting lab to address any concerns
  • Acting as the main contact point for professionals
  • Attending and organizing the chapter participation in Best Practices and other presentations for the national and regional conferences
  • Submit a news letter to the VP of Publicity monthly
  • Spend a minimum of 2 hours per week in the BAP office for chapter business
  • Facilitate Initiation for both fall and spring semesters

 

Executive Vice-President
The Executive VP is tasked with assisting the president. The Executive VP must be willing to learn about all aspects of the chapter, must be able to attend the majority of chapter events and should plan on spending 3-5 hours per week for performance of duties. Duties include:

  • Scheduling the and obtaining a biography of the presenters for technical meetings
  • Standing in for the president at any chapter events where the president cannot be present
  • Maintaining the food for technical meetings and events
  • Submit a newsletter to the VP of Publicity for chapter updates
  • This officer should be comfortable approaching members at technical meetings and in the accounting lab to address any concerns
  • Writing thank-you letters to technical presenters and professionals
  • Writing sponsorship letters
  • Writing invitations to events (ex. initiation)
  • Is responsible for ordering the awards for our chapter sponsors for the Spring semester
  • Spend a minimum of 2 hours per week in the BAP office for chapter business

 

Secretary
The Secretary functions as the reporter of the organization. The Secretary must be willing to learn about all aspects of the chapter, must be able to attend the majority of chapter events and should plan on spending 3-5 hours per week for performance of duties.  **Next to the President this position is the most important role to our chapter. Duties include:

  • Attending the national conference in August (to receive training)
  • Review tutorials
  • Prepare and print sign in/up sheets for events
  • Responsible for sign in sheets at events
  • Update chapter workbook and point competition weekly
  • Notify membership of deficiencies (ex. accounting lab hours)
  • Submit candidate’s information into intranet & submit candidate fees to executive office
  • Submit member roster and payment to NMSCPA student memberships
  • Complete and submit the beginning and end of year reports
  • Submit qualifying candidates for initiation
  • Submit a news letter to the VP of Publicity monthly
  • This officer should be comfortable approaching members at technical meetings and in the accounting lab to address any concerns
  • Spend a minimum of 2 hours per week in the BAP office for chapter business


Treasurer
The treasurer is in charge of the finances of the chapter.  The Treasurer must be able to attend the majority of chapter events and should plan on spending 3-5 hours per week for performance of duties. Duties include:

  • Will be added to the Chapter accounts as a signer
  • Responsible for writing and receiving checks on behalf of the chapter
  • Reimbursing officers and members for approved chapter expenses
  • Maintaining all financial records for the chapter
  • Reconciling bank statements
  • Budgeting chapter funds for each semester
  • Creating a financial report for the President, Faculty Advisor, Advisory Board , and Executive office
  • Making deposits, which can be done on campus
  • Submit a news letter to the VP of Publicity for notification of dues
  • Spend a minimum of 2 hours per week in the BAP office for chapter business



Vice President of Events
The VP of Events is in charge of planning, organizing and overseeing chapter events other than technical meetings and conferences. The VP of Events must be able to attend the majority of chapter events and should plan on spending 3-5 hours per week for performance of duties. Duties include:

  • Schedule all service, networking, social, and other chapter events
  • Submit a news letter to the VP of Publicity monthly
  • This officer should be comfortable approaching members at technical meetings and in the accounting lab to address any concerns
  • Work with the VP of Membership to organize and schedule fall and spring initiations
  • Spend a minimum of 2 hours per week in the BAP office for chapter business


Vice President of Publicity
The VP of Publicity is in charge of keeping the chapter and professionals informed of chapter activities and news.  The VP of Publicity must be able to attend the majority of chapter events and should plan on spending 3-5 hours per week for performance of duties. Duties include:

  • Maintaining the chapter, professional, alumni, and advisory board listservs
  • Is responsible for taking pictures at all chapter events and publicizing them in the newsletter
  • Setting deadlines for submission of articles for the newsletter and notifying members, officers, and professionals
  • Organize and submit newsletter to the member, alumni, and professional listservs no later than the 5th of every month
  • Publicize recruiting and chapter events to the ASM bulletin, Anderson LCD screen, to the Daily Lobo, etc.
  • Maintain the chapter board monthly
  • Design, edit, and print initiation reception programs for both fall and spring semesters
  • Spend a minimum of 2 hours per week in the BAP office for chapter business



Vice President of Membership
The VP of Membership is in charge of all the chapter membership interests.  The VP of Membership must be able to attend the majority of chapter events and should plan on spending 3-5 hours per week for performance of duties. Duties include:

  • This officer should be comfortable approaching candidates and members at technical meetings and in the accounting lab to address any concerns
  • Is responsible for contacting Anderson professors to schedule class visits
  • Is responsible for maintain and distributing recruiting resources
  • Is responsible for organizing all the officers to conduct classroom visits approved by the professors
  • Is responsible for maintaining candidate application file
  • Is responsible for organizing the Candidate Orientation
  • Is a responsible for organizing and maintaining the POC program
  • Is responsible for ordering the Candidate membership pins and graduate cords
  • Is responsible for conducting membership, candidate, and graduate surveys
  • Submit a news letter to the VP of Publicity monthly
  • Work with the VP of Events to organize and schedule fall and spring initiations
  • Spend a minimum of 2 hours per week in the BAP office for chapter business

 

Vice President of Mentorship
The VP of Membership is in charge of our chapter interest in the Mentorship program.  The VP of Mentorship must be able to attend the majority of chapter events and should plan on spending 3-5 hours per week for performance of duties. Duties include:

  • Coordinating with Tasha Harper from the NMSCPA to organize the Mentorship program
  • Is responsible for obtaining Finance and MIS mentors and must convey this information to Tasha Harper from the NMSCPA
  • Submit a news letter to the VP of Publicity about the membership program
  • Work with the VP of Events to organize and schedule fall and spring initiations
  • Spend a minimum of 2 hours per week in the BAP office for chapter business



Vice President of Technology
The VP of Technology is charge of our chapter technology.  The VP of Technology must be able to attend the majority of chapter events and should plan on spending 3-5 hours per week for performance of duties. Duties include:

  • Is responsible for updating and maintaining the chapter website as needed
  • Is responsible for updating all security software for all three chapter computers
  • Is responsible for any chapter technology need
  • Submit a news letter to the VP of Publicity for technology & website updates
  • Spend a minimum of 2 hours per week in the BAP office for chapter business

 

*All officers are required to participate in the class room visits organized by the VP of Membership to help chapter recruiting efforts.
