UNM Departments Seeking To:
Obtain Lease Space Off-Campus
Location of Space: The first thing that must always be done is - space must be located. The Real Estate Office can help your department to locate space, we will need to know what you need and where you would like to be or you can locate the space yourself. It makes the process easier for our office if your department has already decided what you need, the location you would prefer and what you can afford.
- Standard Lease Agreement: Submit to the landlord a copy of our standard lease where UNM is the Tenant. Click here for the UNM as Tenant Standard Lease Agreement.
- Preliminary Reviews & Negotiations: If Landlord requires changes to the UNM standard lease, those changes must be submitted to the Real Estate Office for review by the Director. Once a consensus has been reached between the Landlord and UNM on the terms of the lease it is submitted with a Contract Review form for the Final Review.
- Contract Review form: A Contract Review form must accompany every lease that is submitted to the Real Estate Office for execution, along with two (2) originals of the lease contract signed by the Landlord. Click here for an example of how to fill out the Contract Review form.
- Final Review: Once all the business terms for the lease are negotiated between the Landlord and UNM the contract goes through a final review prior to being executed by the University. The Final Review includes review and approval by the following:
- The Director of Real Estate, Kim D. Murphy
- University Counsel, Sandra Liggett
- Director of Purchasing and Materials Managment, Bruce Cherrin
- Executive Vice-President for Administration, David W. Harris
What must be submitted to the Real Estate Office:
- Contract Review form signed by Department Director/Chair
- At lease two (2) notarized originals of the lease contract signed by the Landlord.
- Any supporting documents you wish to send. (i.e. Grant Approval, Regent Approval - if required, PR, etc.)
*This process can take 5-10 business days for complete approval. Please be sure to get your contracts in with sufficient time prior to the lease commencement date.
The Executive Vice President for Administration is the authorized signatory for the Regents of the University of New Mexico, NO Department Chair or Director is authorized to sign for and in behalf of the Regents for any legally binding contract.
- Executed Agreement: Once the lease has been signed by the Executive Vice President for Administration it is returned to the Real Estate Office. Your department will be contracted within 24 hours of receipt of lease by the Real Estate Office.
- File Copy: One fully executed original will be kept on file in the Real Estate Office. A fully executed copy of the lease will be sent to your department for your files.
- Lease Renewals: If the lease allows for renewals, the responsibility for sending notice to the Landlord for extensions or renewals falls upon the department, as outlined in the lease. Copies of all correspondence, extensions, renewals, etc. must be sent to the Real Estate Department to be kept on file.
- Lease Terminations: If a lease must be terminated prior to the ending term of the lease, please contact the Real Estate Office for procedure (505) 277-4620.
Short Term lease of UNM facilities to Non-UNM entities {Six (6) months or less}
Long Term lease of UNM facilities to Non-UNM entities {Longer than six (6) months}
