Policies & Procedures
Non-UNM Entities Seeking To:
Short-Term Lease UNM Facilities:
- Short-Term Lease: A short term lease is defined by University Business Policies & Procedures in Policy 2010 section 4.9.1.1. as a period of six (6) months or less.
- Location of Space: If you need to find space you must contact the Real Estate Department (505) 277-4620. If you have already been in contact with a department that will lease you space in their assigned area, they will start the leasing process for you.
- Standard Lease Agreement: The University of New Mexico requires the use of our Standard Lease Agreement. Click here for the UNM as Landlord Standard Lease Agreement.
- Preliminary Review & Negotiations: If changes to the UNM Standard Lease Agreement are required, those must be submitted to the Real Estate Department for review by the Director. Once the language of the lease has been agreed upon by both parties it must be submitted for Final Review with a *Contract Review form.
*Note: If the Non-UNM Entity has been working with a UNM department, other than the Real Estate Department, to lease space that department must submit the lease for Final Review with the Contract Review form.
- Final Review: After all business terms are negotiated, the contract must go through a Final Review prior to the University executing the lease. The Final Review includes review and approval by the following:
- The Director of Real Estate, Kim D. Murphy
- University Counsel, Charles "Nick" Estes
- Director of Purchasing and Materials Managment, Bruce Cherrin, who has signatory authority for all short term lease contracts.
What must be submitted to the Real Estate Department:
- At least two (2) notarized originals of the lease contract signed by the Tenant Non-UNM Entity.
*This process can take 5-10 business days for complete approval. Please be sure to get your contracts in with sufficient time prior to the lease commencement date.
- Executed Agreement: Upon execution of the lease by the Director of Purchasing and Materials Management it will be returned to the Real Estate Department. The Tenant Non-UNM Entity will be notified within 24 hours of receipt of executed lease by the Real Estate Department.
- File Copy: One fully executed original will be kept on file in the Real Estate Department. One Original will be provided to the Tenant for their records.
- Lease Renewals: If the lease allows for renewals, the responsibility for giving notice to the Real Estate Department of intention to exercise option(s) to renew falls to the Tenant. Requirements for giving proper notice must be followed as laid out in the lease agreement.
- Lease Termination: If a lease must be terminated prior to the ending term of the lease, please contact the Real Estate Department for procedure (505) 277-4620.
