New student employees and students who have not worked at UNM for more than 90 days must present I-9 documentation when submitting hiring paper work in order to be placed on the payroll system. http://www.uscis.gov/files/form/i-9.pdf

To be considered for a work study award for the 2007/2008 academic year students must complete and submit a 2007/2008 Free Application for Federal Student Aid request a work study award through the Student Financial Aid Office.

Last day to work for the spring semester is 05/16/08!!
In order to continue through the spring the following requirements must be met.

WORK STUDY STUDENT:

  1.  Must have a completed 2007-2008 Financial Aid application on file.
  2. Must be registered in at least six (6)- credit hours.
  3. Must be in a degree granting college.
  4. Must have received a work study award for the academic year 07/08 from the Student Financial Aid Office.
  5. Must meet Satisfactory Academic Progress (SAP) to continue through the spring session.
  6. Must have completed all necessary hiring paperwork in the Student Employment Office.
NON-WORK STUDY STUDENT:
  1. Must be registered in at least six (6) hours in order to be eligible for employment.
  2. Must be in a degree granting college.
  3. Must have completed all necessary hiring paperwork in the Student Employment Office.

How many hours must a student be enrolled in to be eligible for employment?

Any student seeking employment must be enrolled in at least six (6) credit hours for each semester he/she is going to work.

Why are you requiring job descriptions with hiring paperwork?
1) We are requiring job descriptions because we are automating our student employment process. Eventually, we want to have these job descriptions available for use in Banner HR.
2) While working with the UNM Compensation Department, we discovered that there is a great deal of inequity among pay rates throughout the university, with the majority in Grade IV pay rates. Because of these inequities, we need to take the time to review them and reclassify them, if necessary prior to loading into Banner.
3) Pay rates or wage adjustments for Grade IV ($9 - $14/hr) must have a significant justification for the pay rate. All job descriptions will be reviewed and pay rates will be evaluated by the Student Employment Manager. For continuing assignments: Any job description that does not provide us with enough information to justify the pay rate or adjustment will remain at the current rate. Pay rates that are denied will include a reasonable pay rate for the job description provided. No student will receive a cut in pay but rather the student will be placed on a wage freeze list and may not be eligible for any increases. Any new students hired into a similar position must be paid at the appropriate rate as determined by the Student Employment Manager.

My student graduated last semester. Can he/she still work under student employment?
No. If you wish to continue your graduate, you must hire them through Temporary Services http://www.unm.edu/~hr/pages/temphire.htm.

Can I hire incoming freshman or transfer students?
Incoming students are not eligible for employment until the first date of their class. If you would like to hire the student before the spring semester begins, you may hire them through Temp Services http://www.unm.edu/~hr/pages/temphire.htm.

Can I leave the end date on the hiring form blank?
Yes. We will check student enrollment and extend the student as far as their enrollment eligibility allows.

Can I fax you my paperwork for a new hire?
No. All new hires are required to complete tax forms and their I-9 and need to be present in order to compete hiring documentation to be eligible to work. A list of documents needed for the I-9 is available at http://www.uscis.gov/files/form/i-9.pdf

What if there is a problem with my student’s hiring paperwork?
Problems received early were mailed back to the department. Effective immediately, we will call the hiring official on the hiring paperwork if there are any problems.

My student has a work study balance for spring. Can the balance be carried over to summer?
The balance can be carried over only if the student has a summer work study award. If the student does not receive a work study award for summer, the last date to access those funds was May 11th.

My student has a hold on his/her record. Can he/she still work?
No. Eligibility for student employment is based on enrollment. If a student has a hold on their record then they cannot enroll. You may hire the student through Temporary Services http://www.unm.edu/~hr/pages/temphire.htm. until the hold is removed.

What if I don’t submit a job description?
We cannot accept any hiring paperwork without a job description. All work study and student employees are required to have job descriptions on file. You may hire them through Temporary Services http://www.unm.edu/~hr/pages/temphire.htm if you do not wish to submit a job description.

I have an undergraduate and graduate student working in the same position. Can I pay the graduate student a higher wage?
No. If the job position and description is the same, you cannot pay the graduate student at a higher wage.

What does “Pay Rate Pending Manager Approval” mean?
It means that any student employment or work study pay rate increases or adjustments are subject to review and approval by the Student Employment Manager.

My student’s pay rate was denied. Why?
More than likely it was denied because it did not meet the criteria for Grade IV which requires the position to be a technical/specialist position. Pay rates that are denied will include a reasonable pay rate for the job description provided. No student will receive a cut in pay but rather the student will be placed on a wage freeze list and may not be eligible for any increases for that position. Any new students hired into a similar position must be paid at the appropriate rate as determined by the Student Employment Manager. We are currently working with departments to reclassify positions in the appropriate grade for the job description provided. If a reclassification is required, you will be contacted by the Student Employment Manager.

What is considered Grade IV criteria?
Some of the criteria considered for Grade IV approval include, but are not limited to the following: What specific technical skills are required for the position? What are they and what level? Does the student need to have completed certain classes with a grade requirement? If so, what are they? How much experience is required for the position? Will the student train other students? How many? And what will they train them to do? Will the students supervise other students? How many? Does the position have a degree requirement? Is the student conducting research or assisting with research? Is the student teaching college level classes?

Where are the job descriptions on the Student Employment website?
We removed them because we wanted to discourage departments from copying and pasting a generic job description. We need to have a job description that reflects the duties that the student is currently performing.
