    All patients seen in the Clinical Trials Center must be for research only. All studies must have an HRRC approval number.

     How to read above chart:

    Procedures: These are the procedures that have been done in the CTC. This list is not all inclusive. If you have a procedure that needs to be done in the CTC the fees can be negotiated.

    Time: This is the time allotted for each procedure. If a patient comes in for a clinic visit to have blood drawn and an EKG the allotted time for the procedures would be 60 minutes. If more time is used for dispensing drug, adverse events, etc. then time would be charged to your study in 20 minute increments.

    A. Agreement with the CTC. A formal agreement has been made with the Clinical Trials Center by the investigator. The investigator agrees that all billable procedures that can be done in the CTC will be done there. Procedures are performed by either the investigators staff or the CTC staff. Cost is approximately 80% of what UH would charge to do in another clinic.

    B. Cost with CTC coordinator. Investigator will purchase at least 25% of CTC coordinator to complete his/her study. Investigator will be billed monthly for the hours the coordinator works on his/her study at a specified hourly rate. Cost is approximately 60% of what UH would charge to do in another clinic.

    Presently the majority of all studies are conducted between the hours of 0730-1300. There is minimal use of the CTC between the hours of 1300-1600. To encourage afternoon clinic use there will be an additional discount on all of the above items done between the hours of 1300-1600. Columns C and D denote this.

    C. Agreement with the CTC. Patients seen between the hours of 1300-1600. Same as column A with an additional discount noted.

    D. Cost with CTC coordinator. Patients seen between the hours of 1300-1600. Same as column B with an additional discount noted.

    Purchasing the percentage of a CTC coordinator:

    The CTC has hired one full time RN and is in the process of hiring an additional coordinator to assist investigators with their studies. An investigator can purchase a percentage of a coordinators time to be designated for his/her study. At least 25% of a coordinators time needs to be purchased. The coordinator will keep a daily log of the time spent working on each protocol and the investigator will be billed for those hours monthly at a specified hourly rate. If the contract is for 25% of the coordinators time and the coordinator was utilized 35% then the study will be billed accordingly.

    A 3 month commitment/contract is needed in order to purchase coordinators time. The contract will be renegotiated every 3 months. The contract may be canceled at any time however, no refunds will be given.

    In order to ensure correct charging on all patients, procedures and time usage the CTC will institute a routing slip. This routing slip will include the patients name, date, time the patient entered the exam room, procedures and time the patients leaves the exam room. This routing slip will be picked up by the coordinator from the CTC secretary after the patient has been registered in the computer. The secretary will write and initial when the patient enters an exam room. When the coordinator has completed the patient's visit, the coordinator will return the routing slip to the secretary or the CTC staff and an end time will be recorded and initialed. Times will be entered on the routing slips by CTC staff only. If a coordinator fails to return the routing slip to the CTC staff, so an end time can be recorded, the time recorded on the routing slip will be the time the CTC staff notices that the patient has left the room.

    In order for consistency and fairness to all investigators and their staff, the time increments are fixed. If a room is only utilized for 10 minutes the study will still be charged for a 20 minute increment of time. If a room is utilized for 21 minutes, the study will be charged for two 20 minute increments. No exceptions will be made. It is the only way to ensure that everyone is treated equally.
